PLANNING

  • Who made up your organising team?   Our committee and class reps, a team of around 12
  • Have you ever organised an event like this before? Last year's summer fair
  • Did you run a raffle? Yes, we purchased a lottery licence and sold tickets in advance
  • Did you have a programme? Yes
  • How much did you charge for entry? 50p for adults only


VOLUNTEERS AND SUPPORT

  • Did you secure sponsorship?   A local estate agent gave us £250.00 which went towards banner advertising
  • Did you allow outside stallholders? Yes, we had an ice cream van, popcorn and candy floss stall, bouncy castle, other inflatables, arts and crafts, crystals and sweets/fudge
  • How much did you charge stallholders?   £20.00 for 6ft, £35.00 for 20ft. We agreed 20% of the takings for refreshments like candyfloss and popcorn and the ice cream van
  • How did you get people to volunteer?   Asked directly and sent out a letter three months in advance
  • Did teachers/pupils run any stalls? Yes, teachers ran the children's tombola, Pimm's/beer stand, bouncy slide, coconut shy and water into wine stall. About eight school staff helped, including canteen staff
  • How did you draw up your roster?   We based it on who was available and at what times
  • How did you thank your volunteers? Via Facebook and email

MARKETING

  • How did you promote your fair? Banners (funded by our estate agent sponsorship) and leaflet drop. A local postman delivered in the area for us, as he's the husband of one of our canteen staff

  • What was your target? Over £1,000
  • What were your outgoings? £600, covering bouncy castle hire, refreshments and prizes.
  • How much profit did you make?   £2,856
  • What would you do differently? Try to encourage more volunteers
  • What is the best advice that you can give? Get plenty of helpers to help set up, run stalls and clear up afterwards

OTHER FUNDRAISERS

  • How else do you fundraise throughout the year? Cake sales, Christmas craft fayre, disco and cinema evenings.
