PLANNING

  • Did you have a theme? Yes, out-of-hours activities. These included anything from dancing, singing, music, karate, rugby and football
  • Who made up your organising team? We had 10 helpers - these included event co-ordinator, volunteer co-ordinator, raffle co-ordinator, shopper, finance/float, advertising, and three people gathering suppliers' activities
  • Have you ever organised an event like this before? Yes, at my previous school in Cirencester
  • Did you run a raffle? Yes, I wrote letters to local businesses and we managed to secure £1,200 worth of prizes. From this, we raised £900!
  • Did you have a programme? Yes
  • How much did you charge for entry? Admission was free but we had a passport book that you could buy for £4. Inside there were 12 tokens, which you could use at different stalls at the fair


VOLUNTEERS AND SUPPORT

  • How did you get people to volunteer? We have an amazing volunteer team headed up by a brilliant Chair, who can be very persuasive!
  • How did you draw up your roster? We asked parents to do the first or second hour, and most were happy to help
  • How did you thank your volunteers? We posted their names on a big A2 poster and stuck it around the school
  • Recruitment advice: Keep trying!

Stalls were 50p a go, or people could buy a book for £4 with 12 tokens inside. Each stallholder stamped the books for each go.

  • What would you do differently? I think we'd like to try something like an auction next year as it's a brilliant money-maker
  • What is the best advice that you can give? It's a lot of hard work, but it's worth it!


OTHER FUNDRAISERS

  • How else do you fundraise throughout the year? Bonfire night, leavers' party, Christmas fair, Shakespeare play (we supply the alcohol and receive all profits and ticket sales). Next year, we'd like to try a music festival theme
