Christmas fair: Riseley Lower School

PLANNING

  • Who made up your organising team? Myself and our PTA Secretary
  • Have you ever organised an event like this before? Yes, we've organised the last three fairs
  • Did you run a raffle? Yes, and we had prizes donated
  • How much did you charge for entry? £1 per adult and children were free


VOLUNTEERS AND SUPPORT

  • Did you secure sponsorship? Yes, we secured £500 from a local estate agent
  • Do you have any advice for others seeking sponsorship? You can but ask! This is only the second time in four years that we've been able to secure sponsorship - so keep at it.
  • Did you allow outside stallholders? Yes, and we tried to limit this to one table of each kind of stallholder
  • How much did you charge stallholders? £12.50 per stall, and they provided their own tables
  • How did you get people to volunteer? We sent messages out via the school and Facebook appealing for help
  • How did you draw up your roster? We had a sheet with each hourly timeslots for each stall needed and pinned it up at school. People filled in what they could do.
  • How did you thank your volunteers? We sent messages out afterwards thanking them and telling them what had been raised.
  • Recruitment advice: Try and get the children on board, then the parents will come and help them!

MARKETING

  • How did you promote your fair? We advertised in the local press, on Facebook, and with banners around the school.
  • Describe any particular success you had with your publicity: Facebook was great, because we had people contacting us and offering prizes for the raffle!


PROFIT/ WRAP UP

  • What was your target? £900
  • What were your outgoings? £1,300
  • How much profit did you make? £930
  • What would you do differently? We had planned an outdoor market but the weather was too bad. We moved everything inside but as a result, a lot of stallholders didn't show up. To ensure this doesn't happen again we will always run the fair indoors.
  • What is the best advice that you can give? Assign a stall to a volunteer and try to get as much help as possible when organising. It saves you the worry!


OTHER FUNDRAISERS

  • How else do you fundraise throughout the year? We run discos twice a year, termly film nights, Christmas card projects, Bag2School collections, Easter raffles.
