PLANNING

  • Who made up your organising team? 10 volunteers met regularly and worked together to allocate specific tasks
  • Have you organised this event before? This is my second year running the Christmas fair, but I have been involved since my eldest started school in 2011
  • Did you run a raffle? Yes. We distributed tickets to parents via pupils and also sold tickets on the day of the fair. We aim to have at least 12 prizes
  • Did you have a programme? Yes, a fairly short, 2-sided, A4 programme to inform attendees about the attractions on offer, issuing standard information on health and safety and thnaking those who have supported the fair in various ways
  • Did you charge for entry? No


VOLUNTEERS AND SUPPORT

  • How did you get people to volunteer?  We sent emails via Parentmail, spoke to people in the playground, used our class reps to spread the word and displayed sign-up sheets at school
  • How did you draw up your roster? Our Vice-Chair draws up a rota, incorporating the parents who have volunteered, their specific availability and any preferences
  • How did you thank your volunteers? In the programme, by subsequent emails and in our PTA newsletter
  • Recruitment advice: Start as early as possible, use all methods available and accept that the arrangements may be more last minute than you would like!
  • Did you secure sponsorship?  No, but parents and local businesses generously donated some raffle prizes
  • Did pupils/teachers run any stalls? Our teachers always run the bottle and chocolate tombolas. A few older children informally helped with running stalls

MARKETING

  • How did you promote your fair? We displayed posters at school, sent Parentmail to parents, put notices in the parish bulletin and posted on Facebook
  • Describe any particular success you had with your publicity? Fortunately our parents and parishioners are very supportive of our events, so our fairs are always well attended


PROFIT/ WRAP UP

  • What was your target? £5,000
  • What were your outgoings? £683
  • How much money did you raise? £5,500
  • What would you do differently? We have a formula that works - sticking mainly to the same stalls, and introducing a few new things each time to add interest
  • Stalls you wouldn't run again and why: The pocket money stall wasn't popular as other stalls, and our profit was limited by the fact that we had to buy the items
  • What advice would you give? Start the organisation process early, form a team and allocate specific jobs. Minimise costs and, where possible, rely on donations. Above all, create a festive atmosphere with great stalls and other entertainment. We were fortunate to have our school choirs and samba bands entertain us!


OTHER FUNDRAISERS

  • How else do you fundraise throughout the year? Sponsored events, summer fair, afternoon teas, quiz nights, concerts, ladies' evenings, children's discos, and biennial summer/spring balls.
