PLANNING

  • Who made up your organising team? Six main people organised the fair; the Chair, Vice-Chair, Secretary, Treasurer, two event organisers, plus volunteers
  • Have you ever organised an event like this before? Yes, this is my eighth year!
  • Did you run a raffle? Yes
  • Did you have a programme? Yes   
  • How much did you charge for entry? £1 for adults, children free


VOLUNTEERS AND SUPPORT

  • How did you get people to volunteer?  Luckily we have a lot of regular helpers! We sent texts via the school's text message system and posted requests on our Facebook page. We started asking for help about three months in advance, then posted regular reminders
  • How did you draw up your roster? We allocated someone to look after a stall, and asked them to recruit and sort out time slots between them
  • How did you thank your volunteers? In person and via Facebook
  • Recruitment advice: Get some parents from each year group on side and delegate roles. We found that children's parties are a great place to recruit!
  • Did you secure sponsorship? No
  • Did you allow outside stallholders? We only had groups from the church, who sold Christmas cards and religious gifts
  • How much did you charge stallholders? Nothing
  • Did pupils/teachers run any stalls? Yes, the teachers ran the bottle stall

MARKETING

  • How did you promote your fair? Placed a notice in the church newsletter, sent texts and notices out to parents, and placed a banner outside the school
  • Describe any particular success you had with your publicity: We received help from parishioners, as well as donations for prizes from parents' employers and businesses, including hotels, restaurants and shops. We also wrote to about 50 companies asking for donations, and people we generous enough to send us tickets to theme parks, local attractions, and so on

  • What were your outgoings? £1,236
  • How much money did you raise? £4,642
  • What would you do differently? We'd love to have a second grotto and another Father Christmas to avoid large queues. We plan to introduce a booking system to visit the grotto as well
  • Is there anything you wish you had known before you started? What the weather would be like! We've always been quite lucky weather-wise but it's always a worry with our outdoor stalls. Some volunteers are less inclined to volunteer if they are asked to stand outside in the cold and rain, and it does affect the number of those who step forward
  • What is the best advice that you can give? Delegate, and get regular updates on progress!


OTHER FUNDRAISERS

  • How else do you fundraise throughout the year? Summer fair, children's discos, fashion shows, textile recycling.
